1. Who we are

AICEA (Artificial Intelligence, Computing & Engineering Alliance), based in Guindy, Chennai, Tamil Nadu, India (“AICEA”, “we”, “us”), builds AI automation agents, custom software and workflow automation for businesses.

For personal data collected through this website and our direct communications with you, AICEA is the Data Fiduciary within the meaning of the Digital Personal Data Protection Act, 2023 (the “DPDP Act”). This policy also follows the Digital Personal Data Protection Rules, 2025, the Information Technology Act, 2000 and the rules made under it, to the extent they apply.

2. Scope of this policy

This policy covers personal data we process when you visit this website, fill in our contact form, email or call us, or otherwise deal with us as a prospective or current client.

When we build or run systems for a client and process personal data on that client’s behalf (for example, invoices or customer records passing through an automation we built), we act as a Data Processor. That processing is governed by our written agreement with the client, and the client’s own privacy notice applies to the people whose data it is.

3. Personal data we collect

Information you give us

  • Contact form: full name, work email, company (optional), the service you are interested in (optional) and the project details you write.
  • Emails, calls and meetings: your name, contact details, job title, company and anything you choose to share about your project.
  • Clients: billing contact details, GST number and other information needed to contract with and invoice you.

Please do not send us sensitive personal data (such as financial account details, health information or passwords) through the contact form or email unless we have specifically agreed a secure way to do so.

Information collected automatically

  • Server logs: our hosting provider records technical data such as IP address, browser type, pages requested and the date and time of each request. This is used to keep the website secure and working.
  • Fonts: the website loads fonts from Google Fonts, so your browser sends your IP address and browser details to Google when the page loads.
  • Your animation preference: if you pause the website’s animations, that choice is stored in your own browser (local storage). It never leaves your device and does not identify you.

We do not currently use analytics, advertising or tracking cookies. If that changes, we will update this policy and, where required, ask for your consent first.

4. Why we use it and on what basis

We do not sell your personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.

5. Consent and withdrawal

Where we rely on consent, it is free, specific, informed, unconditional and unambiguous, and given by a clear affirmative action, such as submitting the contact form after reading the notice beside it.

You can withdraw consent at any time, as easily as you gave it, by emailing theaicea@gmail.com with the subject “Withdraw consent”. After withdrawal we will stop processing your data for that purpose within a reasonable time and ask our service providers to do the same, unless the law requires or allows us to keep it. Withdrawal does not affect processing that happened before it.

You may also manage your consent through a Consent Manager registered with the Data Protection Board of India, once such services are available.

6. Who we share it with

We share personal data only when needed, and only with:

  • Service providers (Data Processors) that help us operate, such as our email provider (Google), website hosting provider and any form-handling service. They may use the data only on our instructions and under a contract.
  • Professional advisers such as chartered accountants, auditors and lawyers, under a duty of confidentiality.
  • Government or law enforcement authorities when required by law or a valid legal order.
  • A successor business, if AICEA is involved in a merger, acquisition or restructuring, subject to the same protections described here.

7. Processing outside India

Some of our service providers, such as our email and hosting providers, may store or process data on servers outside India. Under Section 16 of the DPDP Act, we will not transfer personal data to any country or territory that the Central Government has restricted by notification, and we choose providers that apply security safeguards comparable to those described in this policy.

8. How long we keep it

We keep personal data only for as long as it is needed for the purpose it was collected for, or as required by law. After that, we erase it and ask our processors to do the same.

  • Enquiries that do not become projects: up to 24 months after our last contact, so we have context if you get in touch again, unless you ask us to delete them sooner.
  • Client and contract records: for the duration of our engagement and afterwards for the period required by applicable tax, GST and accounting laws.
  • Security and server logs: for the period required by law, including at least one year where the DPDP Rules, 2025 require it.

9. How we protect it

We take reasonable security safeguards, as required by Section 8(5) of the DPDP Act, to prevent personal data breaches. These include encrypted connections (HTTPS), access limited to people who need it, multi-factor authentication on our accounts, and contracts that require our service providers to protect data.

No system is completely secure. If a personal data breach occurs, we will inform the Data Protection Board of India and each affected person without delay, as required by Section 8(6) of the DPDP Act and the DPDP Rules, 2025, including what happened, its likely impact and the steps we are taking.

10. Your rights

Under the DPDP Act, you have the right to:

  • Access information (Section 11): a summary of the personal data we process about you, the processing activities, and the identities of the parties we have shared it with.
  • Correction and erasure (Section 12): to correct, complete or update your personal data, and to have it erased when it is no longer needed, unless we must keep it by law.
  • Grievance redressal (Section 13): to raise a complaint with us and receive a response.
  • Nominate (Section 14): to nominate another person to exercise these rights on your behalf in the event of your death or incapacity.
  • Withdraw consent at any time, as explained in section 5.

To exercise any of these rights, email theaicea@gmail.com. We may need to verify your identity before acting. We aim to respond within 30 days, and in any case within the time allowed by the DPDP Rules, 2025.

11. Your duties

Section 15 of the DPDP Act asks you to give accurate information, not to impersonate anyone, not to suppress material information, and not to file false or frivolous complaints.

12. Children

Our website and services are meant for businesses and are not directed at anyone under 18. We do not knowingly collect personal data from children. If we learn that we have collected a child’s personal data without verifiable consent from a parent or lawful guardian, as Section 9 of the DPDP Act requires, we will delete it. If you believe this has happened, please contact us.

13. Cookies and similar technologies

This website does not set advertising or analytics cookies. It stores one optional setting, your choice to pause animations, in your browser’s local storage. You can clear it at any time through your browser settings.

14. Grievance Officer

If you have a question or complaint about how we handle your personal data, please contact our Grievance Officer, who is also the person able to answer questions on our behalf about processing of your personal data:

Grievance Officer, AICEA
Name: [GRIEVANCE OFFICER NAME]
Email: theaicea@gmail.com
Phone: +91 91779 07592
Address: Guindy, Chennai, Tamil Nadu, India

We will acknowledge your grievance promptly and try to resolve it within 30 days, and in any case within the time allowed under the DPDP Rules, 2025.

15. Data Protection Board of India

If you are not satisfied with how we resolve your grievance, you may complain to the Data Protection Board of India once you have used our grievance process, as provided in Section 13(3) of the DPDP Act.

16. Changes to this policy

We may update this policy to reflect changes in law or in how we work. We will post the new version on this page with a new “Last updated” date and, if the changes are significant, tell you directly where we can.
